Pandr Rewards Terms

1. Introduction

These Pandr Rewards Terms ("Rewards Terms") govern participation in the Pandr Rewards programme operated by We Are Pandr Ltd ("Pandr", "we", "us", "our").

Pandr Rewards is an optional programme available to approved Pandr Trade members.

These Rewards Terms should be read alongside the Pandr Terms of Service, Pandr Trade Terms, Privacy Policy and any other policies published by Pandr from time to time.

By joining, participating in or continuing to use the Pandr Rewards programme, you agree to these Rewards Terms.


2. What is Pandr Rewards?

Pandr Rewards is a Pandr-managed online shop programme that allows approved schools and organisations to earn rewards on qualifying sales made through their dedicated Pandr collection.

Pandr manages:

  • Product sourcing
  • Collection management
  • Website hosting
  • Payment processing
  • Production
  • Fulfilment
  • Customer service
  • Returns administration

Participating organisations promote their collection to students, parents and supporters and receive rewards on qualifying sales.

Pandr does not increase recommended retail prices solely to fund rewards. Rewards are paid from Pandr's margin.


3. Eligibility

Participation in Pandr Rewards is available only to approved Pandr Trade members.

To remain eligible, participants must:

  • Maintain an active Pandr Trade account;
  • Continue operating as a legitimate school, club, organisation or business;
  • Provide accurate and up-to-date account information;
  • Comply with all applicable Pandr policies and agreements.

Pandr reserves the right to request information to verify continued eligibility at any time.

Failure to provide requested information may result in suspension or removal from the programme.


4. Collection Management

Each participating organisation will have an approved collection of products available through its Pandr Rewards shop.

Collections are jointly agreed between Pandr and the participating organisation.

Changes to collections may be requested at any time.

Pandr reserves the right to approve, decline, amend or remove products where necessary for operational, commercial, legal or compliance reasons.

Collection management remains subject to reasonable usage and operational capacity.


5. Product Categories & Fulfilment

Branded Items

Branded items include products printed, embroidered or otherwise customised with the participant's name, logo or branding.

These products are normally made to order and produced specifically for the participant.

Typical turnaround times are published by Pandr from time to time and may vary during peak periods.

Branded products are non-returnable except where faulty or not as described.

Non-Branded Stock Items

Non-branded items include standard dancewear, footwear, accessories and other products supplied without participant branding.

These items may be supplied from stock or sourced to order.

Despatch times may vary depending on supplier availability and operational requirements.

Orders containing both branded and non-branded items may be shipped together or separately.


6. Qualifying Sales

Rewards are earned only on qualifying completed sales made through the approved Pandr Rewards collection.

A qualifying sale is a completed order that:

  • Has been paid in full;
  • Has not been cancelled;
  • Has not been refunded;
  • Has not been subject to chargeback or payment dispute;
  • Falls within an approved Rewards collection.

Rewards are not earned on:

  • Delivery charges;
  • VAT;
  • Cancelled orders;
  • Refunded orders;
  • Chargebacks;
  • Fraudulent transactions;
  • Internal Pandr test orders;
  • Orders specifically excluded by Pandr.

7. Reward Rate

The standard reward rate is 8% of the qualifying product value excluding VAT and delivery charges.

Pandr may introduce:

  • Promotional reward rates;
  • Bonus reward campaigns;
  • Limited-time incentives;
  • Additional reward opportunities.

Pandr does not intend to reduce the standard reward rate.

Should a reduction become reasonably necessary due to significant operational, commercial or market changes, Pandr will provide not less than 90 days' written notice.

Nothing within these Terms guarantees the future availability of any particular reward rate, promotion or incentive.


8. Reward Adjustments

Rewards are calculated using completed sales data.

Pandr reserves the right to reduce, withhold, adjust or reverse rewards where:

  • An order is refunded;
  • An order is cancelled;
  • A chargeback occurs;
  • Fraud is suspected;
  • Pricing errors occur;
  • Technical errors affect calculations;
  • The participant breaches these Terms.

Any adjustments may be applied to future reward statements or payments.


9. Reward Payments

Rewards are calculated quarterly.

Payments will normally be issued within 30 days of the end of each quarter.

Rewards may be paid by:

  • Bank transfer; or
  • Pandr account credit.

The selected payment method may not be changed during an active reward period.

Participants are responsible for ensuring payment details remain accurate and up to date.

Pandr shall not be responsible for delays caused by inaccurate payment information supplied by the participant.


10. Minimum Payout

The minimum reward payment is £20.

Reward balances below £20 will not be paid immediately.

Balances that remain below £20 for a period of three (3) months following the relevant quarter end will expire automatically and be removed from the participant's account.

Expired balances are non-transferable and have no cash value.


11. VAT

Where a participant is registered for VAT, Pandr may require a valid VAT invoice before payment is released.

Participants are responsible for their own tax affairs and for accounting for any tax liabilities arising from rewards received.

Pandr does not provide tax advice.


12. Reporting

Pandr may provide reward statements and summary sales information relating to the programme.

Participants acknowledge that:

  • Reward calculations are based on Pandr's internal records;
  • Pandr's records shall be considered final in the event of any discrepancy unless a clear error is identified;
  • Individual customer information will not be disclosed.

To protect customer privacy and comply with data protection legislation, participants are not entitled to receive:

  • Customer names;
  • Email addresses;
  • Telephone numbers;
  • Postal addresses;
  • Individual order information;
  • Payment information.

13. Marketing & Promotional Use

Participation in Pandr Rewards remains subject to the marketing and promotional provisions contained within the Pandr Trade Terms and Pandr Terms of Service.

Participants grant Pandr permission to promote their collection and participation in the programme unless they notify Pandr in writing that they wish to opt out of future promotional activity.


14. Rewards Communications

Participation in Pandr Rewards requires the participant to receive communications necessary for the administration and operation of the programme ("Rewards Communications").

Rewards Communications may include:

  • Reward statements;
  • Reward payment notifications;
  • Reward balance updates;
  • Programme updates;
  • Changes to reward rates or payment structures;
  • Bonus reward opportunities;
  • New programme features;
  • Account reviews and eligibility checks;
  • Operational announcements relating to the participant's collection;
  • Information reasonably required for the administration of the programme.

Rewards Communications are service communications and do not form part of Pandr's general marketing communications.

Participants may opt out of general marketing emails at any time. However, participants acknowledge that Rewards Communications are an essential part of administering the programme and will continue to be sent for as long as the participant remains enrolled in Pandr Rewards.

Where a participant requests that Pandr cease all communications relating to the programme, Pandr reserves the right to suspend or terminate participation in Pandr Rewards where continued administration of the programme is no longer reasonably possible.


15. No Guaranteed Earnings

Participation in Pandr Rewards does not guarantee:

  • Any minimum level of sales;
  • Any minimum reward payment;
  • Any future income;
  • Any specific level of customer engagement.

Success within the programme depends on many factors outside Pandr's control, including participant promotion, customer demand and market conditions.


16. Account Review

Pandr may periodically review participant accounts.

We reserve the right to request updated information to verify eligibility, activity levels and programme compliance.

Failure to cooperate with a review may result in suspension or removal from the programme.


17. Suspension & Removal

Pandr may suspend, restrict or remove a participant from Pandr Rewards where we reasonably believe:

  • The participant is no longer eligible;
  • The participant ceases to be a Pandr Trade member;
  • Information supplied is inaccurate or misleading;
  • The programme is being misused;
  • Fraudulent activity is suspected;
  • Payments remain outstanding;
  • These Terms have been breached;
  • Continued participation creates operational, commercial or reputational risk.

Pandr may also remove participants where their collection remains inactive for an extended period.


18. Termination

Participation continues until terminated by either party.

Either party may terminate participation by providing 30 days' written notice.

Where participation ends:

  • Outstanding rewards will be calculated on completed and non-returned qualifying sales;
  • Final reward payments will normally be issued within 30 days of the end of the following quarter;
  • Pending adjustments, refunds or chargebacks may still be applied.

If a participant begins selling substantially similar branded products through another supplier during the notice period, Pandr reserves the right to withhold or forfeit unpaid rewards accrued during that notice period.


19. Changes to the Programme

Pandr may introduce, amend, suspend or withdraw any aspect of the Pandr Rewards programme from time to time.

This includes:

  • Reward rates;
  • Payment structures;
  • Eligibility requirements;
  • Bonus schemes;
  • Programme features;
  • Collection requirements.

Where practical, reasonable notice will be provided.

Continued participation following implementation of changes constitutes acceptance of those changes.


20. Relationship with Other Agreements

These Rewards Terms supplement the Pandr Terms of Service and Pandr Trade Terms.

Where any conflict exists between these Rewards Terms and the Pandr Trade Terms, these Rewards Terms shall prevail in relation to the Pandr Rewards programme.

Where any conflict exists between these Rewards Terms and the Pandr Terms of Service, the Pandr Terms of Service shall prevail unless expressly stated otherwise.
